A hotel furniture cost estimate is only useful when the assumptions behind it are clear. Room count alone does not determine the budget: item mix, specification level, customization, approval stages, packing, freight and site requirements can all change the final project cost.
Separate the budget into visible cost groups
Start with the furniture schedule and divide the estimate into product, sample, packing, freight, duties or taxes where applicable, and site support. The supplier may price only the ex-factory product. The buyer’s internal budget should show the other allowances separately rather than hiding them inside a single unit price.
Product specification is the first cost driver
Compare frame construction, panel or timber materials, foam or spring components, upholstery, finish, hardware, mechanism and dimensions. A visual reference does not define these items. Ask the supplier to list the construction basis used for the estimate and identify which details remain provisional.
Customization and repeatability
One custom prototype can carry development and setup work that does not appear in a standard catalogue item. Grouping items that share fabric, finish, hardware or production steps may improve repeatability, but substitutions should not be made silently. Record the approved alternatives and their effect on appearance, performance and cost.
Samples, mock-ups and revisions
Allow a separate line for finish samples, upholstery swatches, prototypes and a guest-room mock-up where required. A budget should also allow for drawing revisions and re-sampling when the design changes. The lowest initial sample allowance is not always the lowest project cost if it creates late corrections.
Packing, freight and site access
Confirm whether the product is shipped assembled, knocked down, protected by foam or corner boards, and labeled by item or room. Packed dimensions affect container utilization and site handling. Lift, doorway and corridor constraints can require a different construction or packing plan.
