An installation punch list is only useful if every issue can be found, assigned and verified. On a hotel project, vague notes such as “chair problem” can lead to repeat visits because they do not identify the room, model, quantity or acceptance requirement.
Give each issue a traceable reference
Use a unique ID and record the property, floor, room or area, item, model or SKU, quantity affected, date observed and observer. Link to the approved drawing, specification or agreed sample that defines the expected condition. If the requirement is unclear, mark the issue “decision required” rather than treating an assumption as a defect.
Write an observable description
State what was seen and where: “left drawer front contacts the adjacent panel when opened” is more actionable than “cabinet misaligned.” Include a photograph that shows the item in context and a close view of the condition. Add measurements where the acceptance criterion is measurable. Keep guest information out of photos and logs.
Separate ownership from approval
Assign one action owner, a due date and the next step: inspect, adjust, repair, replace, obtain a design decision or monitor. The person completing work should attach completion evidence, but closure should be verified by the buyer’s designated representative or other agreed approver. For a replacement, record the new model or revision and reconcile the asset register.
Use clear status definitions
- Open: condition documented and awaiting action.
- In progress: an owner and planned response are recorded.
- Ready to verify: work is reported complete and evidence is attached.
- Closed: the authorized reviewer has accepted the result.
- Deferred: the issue has a documented reason, risk owner and agreed review date.
Do not delete rejected items from the log; retain the decision and reason so teams do not reopen the same question later. Summarize open issues by room and responsible party before a handover milestone, and keep the signed closeout record with the project documents.
This snag log complements, rather than replaces, the installation punch-list checklist and the site coordination in the installation planning guide. For project-specific coordination, share the item schedule and issue format with Baotian.
