A product sample answers questions about one item. A furnished mock-up room reveals how several approved items work together in the actual room layout. The review is most useful when the team records what was checked, which revision was used and which decisions remain open.
Mock-up acceptance should follow the project’s contract and approval authority. A room review should not be treated as approval of unreviewed models, quantities or specification changes.
Prepare one controlled review pack
- Identify the property, room type, room number or mock-up location, review date and attendees.
- List each furniture item with model, drawing or specification revision, finish reference and intended quantity per room.
- Bring the current room plan and relevant elevations. Mark the revision date so reviewers do not compare against an obsolete layout.
- Separate items already approved at sample stage from items that still need a decision.
Review the installed arrangement
Walk the room in the order a guest or installer encounters it. Check whether doors, drawers, sofa beds and other moving parts can operate in the shown layout; whether circulation and access routes match the approved plan; and whether adjacent items appear coordinated in scale, finish and orientation. Verify dimensions against the project drawings rather than relying on visual impression alone.
Where a condition depends on site work, record it as a coordination item. Examples include wall outlets, skirting, floor transitions, curtain clearances, access panels and installer access. Do not ask a supplier to change a product to solve a site condition until the responsible designer or project lead has confirmed the revised requirement.
Record decisions at item level
Use one row per model or issue. Include the observation, measured value if relevant, drawing reference, decision (approved, revise, or pending), action owner and due date. For finish discussions, identify the physical sample and its reference code; photographs can help communicate a concern but should not replace the agreed physical reference when color is critical.
Close the review before repeating the room
Distribute the signed record and marked-up drawings to the buyer, design team, supplier and installer. Resolve open items, issue revised documents with a new revision identifier and state which version is released for the next room or production lot. Keep rejected or superseded samples clearly identified so they are not reused by mistake.
For individual product approvals, use the sample-approval checklist; for the wider document set, see the hotel furniture submittal package guide. Baotian can review a room schedule and mock-up issue list as part of a project discussion.
