A sample is not approved simply because it looks close to a rendering. For hotel procurement, the sample should prove that the visual intent, dimensions, function, construction, material documents and installation assumptions can be converted into a repeatable production reference.
Review the sample in five passes
Visual
Compare color, sheen, grain, seam lines, edge profiles, piping, gaps, alignment and proportions against the approved reference. Use the project lighting where appearance is critical.
Dimensional
Measure overall size, seat height, clearances, door or drawer travel, mattress interface and fixing points. Record tolerances that matter to the room plan rather than relying on a general “approved” note.
Functional
Operate drawers, doors, mechanisms, lift-up panels, sofa beds and adjustable components. Confirm force, clearance, noise, pinch protection and the closed position.
Material and compliance
Match the fabric, foam, panel, timber, metal, coating, adhesive and hardware to the approved schedule. Attach documents that are relevant to the completed construction and destination requirement.
Installation and maintenance
Check packed access, assembly sequence, wall or floor interfaces, service access, replacement components and protection of adjacent finishes.
Record corrections precisely
Each correction should carry an item code, photograph, description, owner, target date and approval status. “Make it like the drawing” is too vague for a mass-production release. State the dimension, finish, seam, hardware or functional change that is required.
