Hotel Furniture Warranty and Handover Pack: What Procurement Should Receive

A hotel furniture warranty is easier to use when it is connected to a clear handover pack. Procurement, operations and maintenance teams should be able to identify the item, understand the care limits, report a problem and locate the relevant approval or replacement information.

Identify every item

Use the approved item code, model, room or area, finish, fabric and quantity. For a large hotel package, include carton or batch references where they help connect a claim to a shipment. Photographs of the approved sample and installed condition can prevent uncertainty later.

Define what the warranty covers

Separate manufacturing defects, transit damage, installation damage, normal wear, misuse and cleaning damage. The wording should describe the notice period, evidence required, response process and any exclusions. A general promise of long life is not a substitute for an item-level warranty basis.

Include care and maintenance limits

Provide cleaning products, methods, frequency, drying instructions and warnings for upholstery, finishes, mechanisms and hardware. If a treatment has a limited durability or requires reapplication, record that limitation. Housekeeping instructions should be practical enough to follow during operations.

Spare parts and service access

List replaceable feet, glides, handles, hinges, drawer runners, mechanism parts, covers or cushions where applicable. Record dimensions, finish, supplier reference and ordering route. Service access should be considered during design, not added after a component fails.
