Spare parts are most useful before an operating team needs them urgently. A missing glide, hinge, sofa-bed component or replacement cover can keep a room out of service even when the main furniture is sound. Forecasting does not mean buying every possible part; it means identifying the small set of parts whose availability has a disproportionate operational effect.
Classify parts by consequence and lead time
Start with parts that affect safety, guest function, room availability or repeated maintenance. Record supplier lead time, minimum order quantity, interchangeability and storage conditions. A visually similar part is not automatically a safe substitute, especially for mechanisms, fixings or components with a load-bearing function.

Set a simple replenishment rule
Use installed quantity, observed failure rate, supplier lead time and the property’s service-level target to set a review point. Keep a small controlled stock of critical, compact parts and order larger or low-risk components against actual demand. Review the list after the first operating quarter; the initial forecast is a starting hypothesis, not a permanent number.
Protect identification and storage
Label each part with its code, description, compatible item and quantity. Store mechanisms and hardware in a dry, organized location, and keep fabric or finish references away from contamination and sunlight. A spreadsheet is sufficient if it includes stock movement, room usage and reorder responsibility.
Link spares to warranty and quality records
When a part is used, record the room, item, date, reason and technician. Repeated failures may indicate installation, misuse, design or production issues rather than normal wear. This feedback should reach the supplier and inform the next purchasing cycle.
Operational note: Spare parts should match the approved product and manufacturer’s instructions. Do not substitute a load-bearing or safety-related component solely because the dimensions appear similar.
