OEM Furniture Orders Succeed or Fail Before Production Starts
For hotel developers, procurement companies, and design studios, choosing a custom hotel furniture manufacturer in China is not only about unit price. The result depends on how clearly the design brief is translated into engineering drawings, samples, material specifications, and inspection standards. A sofa, bed frame, dining chair, or coffee table may look simple in a rendering, but every commercial furniture order involves dozens of decisions that affect durability, packaging volume, installation time, and guest experience.
Step 1: Prepare a Procurement-Ready Design Brief
A useful design brief should include more than inspiration photos. For each item, provide target dimensions, quantity, room type, finish direction, upholstery color, fire rating requirements, and the intended market. A hotel chair for the US market may need CAL 117 foam and fabric compliance, while a Middle East project may prioritize heat-resistant finishes and larger room proportions. When these details are missing, the factory must guess — and guesses create sampling delays.
For OEM furniture, Baotian normally recommends a specification sheet per SKU: front/side/top dimensions, material callouts, hardware type, fabric reference, packing method, and any required test report. This gives both buyer and factory a shared document for pricing, sampling, and final QC.
Step 2: Sample Approval Is a Technical Review
A sample is not only for checking appearance. Buyers should sit on the chair, open the sleeper mechanism, inspect seam alignment, test drawer slides, check edge finishing, and compare finish color under warm and daylight lighting. For upholstered furniture, confirm foam density, fabric hand feel, cushion rebound, and stitch spacing. For wooden or metal furniture, confirm joint strength, coating thickness, and whether visible surfaces match the approved sample.
Step 3: Production Timeline by Category
Typical custom hotel furniture production takes 35–60 days after deposit and sample approval. Sofas and sleeper sofas usually require more time because of fabric cutting, foam forming, frame assembly, and upholstery labor. Dining tables and bed frames can move faster if finishes are standard. Mattresses are often the fastest category once material specifications and ticking are confirmed. Add another 7–14 days if third-party testing, special hardware, or custom packaging is required.
Step 4: Inspection Before Shipment
- Confirm dimensions against approved drawings
- Check fabric, leather, veneer, paint, and metal finish against master samples
- Inspect load-bearing joints, legs, welds, and hardware installation
- Open mechanisms and drawers repeatedly to verify function
- Review carton markings, packing protection, and container loading plan
- Photograph random units from each SKU before sealing cartons
