How to Document the Decision
Certification requests should identify the exact standard, product or material scope, issuing organization and validity period. Do not assume that a supplier-level certificate covers every mattress construction. Record the approved layer build so repeat orders can be compared consistently.

Hotel Mattress RFQ and Sample Approval Checklist
A mattress RFQ should define the sleep experience and the operating requirements at the same time. “Medium firm” alone is not a complete specification: buyers should document bed size, target height, construction type, edge support expectations, ticking or cover direction, labels, required test or compliance documents, packaging, and the market where the product will be installed.
Control the decision before bulk production
- Provide a room-type and quantity schedule, including single, double, twin, king, accessible-room, or rollaway applications where relevant.
- Ask for a construction summary that identifies the main support system, comfort layers, cover, border, and the intended finished dimensions. Use the same format for every supplier quotation.
- Approve a physical sample in the intended bed base and, where possible, have the operating or design team record feedback using the same evaluation form.
- Define what evidence is needed for the destination market and keep it linked to the final bill of materials. Requirements should be confirmed with the project’s compliance adviser rather than inferred from a general product claim.
- Set pre-shipment inspection points: dimensions, height, label accuracy, surface appearance, edge condition, odor or damage observations, packaging, and quantity by model.
