How to Document the Decision
Velvet, linen-look fabric and leather each describe a broad visual category rather than a complete performance specification. Commercial buyers should approve a physical swatch and record measurable requirements before sampling. The same-looking fabric can perform differently depending on fiber, weave, backing and finish.

Approve the Fabric, Not Only the Color
A digital image or color number is not enough to approve commercial upholstery. Request a physical cutting that represents the intended production material, then record the supplier reference, color, fiber content, backing and finish. If repeat orders are expected, define how shade variation between dye lots will be evaluated.
The upholstered sample should also be reviewed after the fabric is applied to the chair. Curves, seams, piping and cushion compression can change how texture and color appear. Confirm seam position, pattern direction, wrinkles, stretching and edge coverage against the approved sample.
Cleaning and Replacement Planning
Ask for the recommended cleaning method and check it against the property’s housekeeping process. A fabric that needs specialist treatment may be unsuitable for high-turnover areas. Buyers should also consider whether the same material can be reordered for replacement chairs and whether a reserved quantity is needed for future repairs.
